Refund Policy

This Refund Policy explains the conditions under which eCompliance Ltd. (“we,” “us”) will offer refunds for purchases made on qmsdoc.com (the “Site”). This Refund Policy forms part of our Terms and Conditions.

We want every customer to be satisfied with the QMS document templates they purchase. At the same time, because our products are downloadable digital goods that cannot be “returned” once accessed, refunds are limited to the specific cases described below.

1. Nature of Our Products

All products sold on qmsdoc.com are downloadable digital products (Microsoft Word document templates and related files). Once a download link has been generated and the files have been accessed or downloaded, the product is considered delivered in full and consumed.

Before placing an order, please review:

  • The product title, description, and table of contents on the product page
  • The applicable regulatory framework (e.g., FDA QSR, FDA QMSR, 21 CFR Part 11)
  • Whether the templates fit your organization’s industry and processes
  • Our Terms and Conditions, including the license grant

2. When Refunds Are Available

We will issue a refund in the following cases:

2.1 Failure of Delivery

If you have completed payment but, due to a technical issue on our side, you are unable to download your purchased templates and we cannot resolve the issue within 7 business days of your report, you may request a full refund.

2.2 Defective or Corrupted Files

If a file you download is corrupted, unreadable, or substantially different from what was advertised on the product page, contact us within 14 days of purchase. We will first attempt to provide a replacement file. If we are unable to provide a working file within a reasonable period, we will issue a full refund.

2.3 Duplicate or Erroneous Charge

If you are charged twice for the same item by mistake, or charged for an item you did not order, please contact us within 30 days with your order details. We will refund the duplicate or erroneous charge in full.

2.4 Mandatory Statutory Rights

Where you are a consumer (not a business buyer) located in a jurisdiction that grants mandatory statutory withdrawal or cancellation rights for digital content, we will honor those rights to the extent legally required. Note that under EU and UK consumer law, the statutory right to withdraw from a contract for digital content is generally lost once the consumer has begun the download with prior express consent and acknowledgment that the right of withdrawal is lost. By initiating the download of any purchased file, you provide such consent and acknowledgment.

3. When Refunds Are Not Available

To protect against fraud and to reflect the nature of digital goods, refunds are not available in the following situations:

  • You changed your mind after downloading the templates
  • You purchased the wrong product, region, or regulatory framework after the download was started
  • The templates do not exactly fit your organization’s specific operations (the templates are designed to be customized; see Section 11 of our Terms and Conditions)
  • A regulatory authority finds your customized version of the templates non-compliant
  • You did not consult a regulatory or legal professional before relying on the templates
  • You no longer need the templates due to changes in your project, business, or regulatory scope
  • Substantial time has elapsed since purchase (more than 14 days from delivery, except where mandatory law provides otherwise)
  • You request a refund based on the suitability of the templates for a use case that is not described on the product page
  • You violated our Terms and Conditions, including the license restrictions in Section 7

4. How to Request a Refund

To request a refund, send an email to support@eCompliance.co.jp with the following information:

  • Your full name and the email address used at checkout
  • Your order number and date of purchase
  • The specific product(s) for which you are requesting a refund
  • A clear description of the reason for the refund request
  • For defective files: a description of the problem and, if helpful, a screenshot or error message

We will acknowledge receipt of your request within 3 business days and aim to resolve refund requests within 14 business days.

5. Refund Method and Timing

Approved refunds will be issued to the original payment method used for the purchase. Refunds typically appear on your statement within 5 to 10 business days, depending on your payment provider and bank. We are not responsible for delays caused by your bank or payment provider.

If a refund cannot be processed to the original payment method (for example, the card has been canceled), we will work with you in good faith to identify an alternative method.

Currency conversion or transaction fees previously incurred may not be fully recoverable; refunds will be calculated based on the amount actually received by us in our base currency, less any non-refundable processor fees.

6. Chargebacks

If you intend to dispute a charge, please contact us first at support@eCompliance.co.jp. We are committed to resolving issues fairly. Chargebacks initiated without prior contact, or chargebacks for orders where files have been downloaded, may result in suspension of your account and recovery action for amounts owed.

7. Changes to This Refund Policy

We may revise this Refund Policy from time to time. Material changes will be posted on the Site with an updated “Last updated” date. The Refund Policy in effect at the time of your order applies to that order.
